Commercial documents issued by a buyer to a seller are used to request a return of funds or a reduction in the amount owed due to material defects or service failures. Issuing debit notes allows the buyer to adjust the accounts payable balance to reflect the value of the non-conforming goods.
Cost Recovery
The calculated value on the document includes the cost of the rejected paperboard, the labour spent sorting the defective batch, and the lost production time on the filling line. Every charge must be supported by evidence such as laboratory reports, photographs of the defects, and time logs from the production run. This prevents disputes and ensures that the supplier accepts the claim without delaying future shipments.
Settlement Method
Once approved by the supplier, the document is used to offset future invoices, reducing the net payment due from the converter to the mill. In cases where the buyer does not have ongoing business with the seller, the document requires a direct cash refund to settle the account. This system ensures that the buyer is compensated for the direct costs associated with supply chain quality failures.
It provides a formal financial mechanism to resolve quality disputes without disrupting the long-term trade relationship.
